Reduce your email bounce rate in three practical steps

Clean existing lists, catch mistakes in forms and review new leads before campaigns. A straightforward workflow for marketing and sales teams.

Incorrect contact details create avoidable work: campaigns reach closed mailboxes, sales teams chase unusable leads and someone has to review the records manually. You can improve this process without starting with a migration to a different email platform.

1. Clean the list you already have

Export your campaign audience, deduplicate it and preserve existing unsubscribe and suppression records. Check the addresses before importing them back into your sending platform. Keep the verification date and reason alongside the result so the next person can understand the decision.

A hard bounce usually indicates a permanent delivery problem; a soft bounce generally indicates a temporary one. Use the detailed response from your sending platform, because a rejection may also reflect policy or reputation. Verification should complement those records rather than overwrite them.

2. Catch mistakes when a contact submits a form

Check format first, then use an email verification result to guide the user. A clear message such as “Check the address you entered” is more useful than an unexplained error code. If you suggest a spelling correction, ask the user to confirm it instead of silently changing their address.

Give timeouts and inconclusive results a reasonable fallback. An unavailable verification service should not automatically label a real contact as invalid. Decide whether to accept the record for later review based on the value and risk of that particular form.

3. Make checking new leads a repeatable step

Verify new records before handing them to sales or enrolling them in a campaign. Save the result in the CRM, route uncertain records to review and suppress known invalid addresses. Recheck older records when they are about to be used, especially after a long period without contact.

ByeBouncer checks emails, phone numbers and IP risk signals. A combined lead score summarizes the checks and includes their breakdown. Use it to prioritize review while keeping the underlying evidence visible; a score cannot prove identity or purchase intent.

Measure improvement with your own sending data

Compare bounce rates for similar audiences and campaigns. Track permanent failures, temporary failures, complaints and unsubscribes separately. Follow your email platform’s current limits and investigate changes rather than relying on a universal “safe” bounce percentage.

Avoid purchased lists, honor opt-outs and maintain the required email authentication. A technically valid address does not make an unsolicited campaign appropriate. Start with a small verified audience, measure the result and expand carefully.
